Many people think tax is a job for the finance team or the tax adviser. In practice, tax is decided much earlier, by ordinary staff doing ordinary work. A salesperson agrees a price. A buyer accepts a supplier invoice. An administrator pays a foreign consultant. A warehouse team ships goods to another country. Each of these actions has a tax effect, and most tax errors start with them, not in the finance office.

This course explains the basic ideas behind business taxes, with most attention on value added tax (VAT) and its close relative, goods and services tax (GST). These are the taxes that most staff meet every day, on almost every invoice.

Who in a business touches tax

What goes wrong

When tax is handled badly, the business usually loses money in one of three ways:

  • Tax not charged — the business forgot to charge VAT on a sale. The authority can still ask the business for the tax, and the customer may refuse to pay extra later. The business pays it from its own margin.
  • Tax not recovered — the business paid VAT to a supplier but cannot recover it, because the invoice was not valid or was lost.
  • Penalties — a return was late, wrong or missing, and the authority adds a penalty on top of the tax.

There is also a fourth cost that is harder to measure: time and reputation lost in a tax audit.

Worked example: one missed charge

A small events company sells a 20,000 package to a client and forgets to add VAT at an example rate of 10% (invented). The tax authority finds the error in an audit. The company must pay 2,000 of tax. The client has already paid the invoice and the contract says the price included all taxes, so the company cannot recover the 2,000. If the authority also charges a penalty, the loss grows. One missed line on one invoice removed a large part of the profit on the job.

Where do most business tax errors start?
